PURCHASER/ROCUREMENT ASSISTANT

DUTIES AND RESPONSIBILITIES

  1. Canvassing and Sourcing
  • Conducts supplier canvassing for goods and services based on approved PRF.
  • Sources new suppliers and requests quotations or proposals as instructed.
  • Compares quotations in terms of pricing, lead time, and basic compliance.
  1. Supplier Background Checking
  • Assists in conducting preliminary supplier background checks.
  • Collects required supplier documents for accreditation and evaluation.
  • Verifies supplier contact details, business registration, and basic credentials.
  1. Supplier Database Support
  • Conducts market research to identify alternative or backup suppliers.
  • Updates supplier pricing history and contact information.
  • Supports the maintenance of the supplier database.
  1. Coordination and Follow-Ups
  • Follows up quotation requests, supplier responses, and lead times.
  • Coordinates with suppliers on clarifications related to quotations.
  • Escalates supplier delays or issues to the Procurement Manager.
  1. Reporting and Administrative Support
  • Prepares procurement documents such as PRF, AOB, PO, RFP and RR based on the requested order.
  • Distributes approved P Os to supplier.
  • Supports the Procurement Manager in administrative and clerical tasks.
  • Ensures procurement data is updated, accurate, and readily available.

Competence in identifying potential suppliers and gathering quotations in accordance with procurement requirements.

Skill in preparing comparative summaries of quotations to support evaluation of price, terms, and lead times.

Knowledge of common materials, equipment, and services procured by the company to ensure accurate canvassing.

  1. Documentation Accuracy

Proficiency in properly organizing quotations and supporting documents for procurement review.

  1. Supplier Communication

Effectiveness in coordinating with suppliers regarding pricing, availability, delivery timelines, and basic clarifications.

  1. Procurement Compliance

Understanding of procurement guidelines and adherence to established canvassing and documentation requirements.

Consistency in verifying quotation accuracy and alignment with requested specifications.

Capacity to manage multiple canvassing requests and meet deadlines without compromising accuracy.

Minimum Job Qualifications

Education: Graduate of any Management Course.

License/Certification: N/A

Experience: Fresh graduate or at least (3) years of Procurement work experience.
