Responsibilities

  • Schedules diagnostic imaging appointments, including X-ray, ultrasound, mammography, CT, MRI, and other radiology procedures.
  • Reviews orders for completeness and accuracy and obtains any missing information before scheduling.
  • Coordinates appointment dates, times, locations, and required preparation instructions with patients and clinical departments.
  • Verifies patient demographics, insurance information, referrals, and authorization requirements.
  • Communicates procedure-specific preparation instructions to patients and answers general scheduling questions.
  • Prioritizes urgent requests and works with clinical teams to accommodate time-sensitive imaging needs.
  • Reschedules or cancels appointments as needed and promptly communicates schedule changes to patients and departments.
  • Maintains accurate and complete scheduling documentation within the electronic medical record and scheduling systems.
  • Provides professional, compassionate service while protecting patient privacy and adhering to HIPAA requirements.
  • Collaborates with radiology technologists, providers, clinical teams, and insurance representatives to resolve scheduling concerns.
  • Monitors schedules for accuracy and efficiency and works to maximize appointment availability and patient access.
  • Performs other duties as assigned.

Qualifications

Education

High school diploma or equivalent required.

Knowledge, Skills, and Abilities

Strong customer service, communication, and organizational skills. Ability to manage multiple priorities and work effectively in a fast-paced environment. Basic computer proficiency and accurate data-entry skills required. Must demonstrate attention to detail, professionalism, dependability, and the ability to maintain patient confidentiality. Previous scheduling, healthcare, medical office, or customer service experience preferred.
