About The Role

We are seeking a full-time Medical Assistant / Front Office team member to support a busy ENT/Otolaryngology practice serving our Napa and Sonoma locations. This is a cross-trained position that includes both clinical Medical Assistant responsibilities and front-office patient support.

The ideal candidate is dependable, adaptable, patient-focused, and comfortable working in both clinical and administrative settings. This position is primarily based in Napa and requires flexibility to travel to the Sonoma office approximately 1–2 days per week .

Schedule: Monday–Friday, 8:00 AM–5:00 PM

Status: Full-Time

Essential Duties & Responsibilities

  • Assist providers with patient care and clinical workflow
  • Prepare and set up exam rooms for patient visits
  • Clean, disinfect, and process scopes and other medical equipment according to established procedures
  • Room patients and assist with Medical Assistant duties as needed
  • Answer and route incoming phone calls
  • Assist with patient check-in and check-out
  • Schedule and coordinate patient appointments
  • Process assigned inbox messages and administrative tasks
  • Maintain clean, organized, and properly stocked exam rooms
  • Communicate professionally with patients, providers, and other staff
  • Support both front-office and back-office operations as needed
  • Travel between the Napa and Sonoma offices approximately 1–2 times per week
  • Perform other duties as assigned to support efficient patient care and office operations

Job Requirements

  • Ability and willingness to work in both Medical Assistant and front-office functions
  • Availability to work full-time, Monday through Friday from 8:00 AM–5:00 PM
  • Reliable transportation and flexibility to travel between the Napa and Sonoma locations
  • Strong communication and customer-service skills
  • Ability to work effectively in a fast-paced medical office environment
  • Strong attention to detail, organization, and follow-through
  • Ability to manage multiple responsibilities and adjust to changing office needs
  • Comfortable working directly with patients and healthcare providers
  • Ability to maintain patient confidentiality and follow HIPAA requirements
  • Bilingual English/Spanish preferred
  • Previous Medical Assistant or medical-office experience preferred
  • ENT/Otolaryngology experience is a plus
