About The Role

We are looking for a detail-oriented and organized professional to join our team. This role is a hybrid of bookkeeping (70%) and light administration (30%). The ideal candidate has a solid grasp of accounting principles and enjoys a variety of tasks, from reconciling accounts to ensuring the office runs smoothly.

Key Responsibilities

Bookkeeping Duties

  • Accounts Payable/Receivable: Process invoices, follow up on outstanding payments, and ensure vendors are paid accurately and on time.
  • Bank Reconciliation: Perform monthly reconciliations of bank statements and credit card accounts.
  • Payroll Support: Assist with payroll processing and maintain accurate employee records.
  • Financial Reporting: Prepare basic monthly financial statements (Profit & Loss, Balance Sheet) for management review.
  • Data Entry: Maintain clean and accurate records within our accounting software ([e.g., QuickBooks, Xero, or Sage]).

Administrative Duties

  • General Admin: Manage incoming mail, monitor the general company email, and order office supplies as needed.
  • Document Management: Organize and maintain digital and physical filing systems to ensure compliance and easy retrieval.
  • Communication: Act as a point of contact for clients or vendors regarding billing inquiries or basic administrative questions.
  • Special Projects: Assist the team with occasional tasks such as coordinating small meetings or updating internal databases.

Qualifications & Skills

  • Experience: 2–3 years of hands-on bookkeeping experience is required.
  • Software Savvy: Proficiency in QuickBooks, Xero or Sage and Microsoft Excel (intermediate level).
  • Detail-Oriented: An eagle eye for accuracy—you catch the typos and the missing pennies.
  • Adaptability: A "no task is too small" attitude. You are comfortable pivoting from financial reports to helping with office logistics.
  • Education: An Associate’s degree in Accounting, Finance, or Business Administration is preferred, but equivalent experience is valued.
