About The Role
JOB PURPOSE Responsible for employee services, including workspace allocation and optimization, transportation services, and employee welfare activities. Further to provide support to employees in case of emergencies and manage the team of Employee Emergency Management Cell (EEMC). ORGANISATION CHART Head FMS >> Junior Manager FMS KEY ACCOUNTABILITIES Transport Services: - • Manage transportation services, including fixed shuttle and spot rental vehicles. Ensure timely and efficient transportation operations & monitor vehicle maintenance schedules and compliance. • Coordinate with vendors to ensure timely and efficient transportation services and to monitor transportation costs and identify opportunities for cost savings. • Conducting regular employee connect and solicit feedback to identify areas for improvement and address any concerns or suggestions • Manage and resolve employee escalations in a timely and professional manner. • Provide support to employees on administrative and facility-related matters. Workspace allocation & optimization: - • Manage workspace allocation and optimization, ensuring that all employees have a designated workspace. • Keep accurate records of workspace occupancy and available inventory. • Identify opportunities to optimize workspace utilization and make recommendations for improvement. • Collaborate with other departments to ensure that workspace allocation aligns with business needs. Employee Welfare & Engagement: - • Organize wellness sessions (mental health, yoga, fitness etc) and maintain records of participation and feedback. • Develop monthly/quarterly employee engagement activities and organize sports events and tournaments. Employee Emergency Management Cell: - • Manage the team of Employee Emergency Cell and provide support to employees in case of emergencies. • Ensure that all employees are aware of emergency procedures and protocols. • Collaborate with other departments to ensure that emergency response plans are in place. Financial Management: - Prepare and manage annual budgets for facility management services and monitor expenditures to ensure alignment with budgetary constraints and tracking variances. • Monitor and control expenses, ensuring alignment with approved budgets. • Review Annual Operating Plans (AOP) with financial projections for accuracy and feasibility. • Conduct regular financial audits and implement cost-saving measures to optimize operational expenses. Vendors & Stakeholder Management: - Manage vendor relationships and contracts for facility management services, ensuring cost-effectiveness and quality of services, monitoring performance, and resolving issues. Monitor Service Level Agreement (SLA) adherence, ensuring vendors meet performance benchmarks and contractual obligations. Coordinate with relevant stakeholders to conduct risk assessments and implement preventive measures. Manage relationships with external vendors and service providers, monitoring performance, and resolving issues.
