About The Role
Job Description The Facilities Contract & Vendor Services role is responsible for managing and governing facilities-related contracts, vendor performance, commercial activities, and service delivery to ensure operational efficiency, cost effectiveness, and compliance with company policies and contractual requirements. Responsibilities Procurement Governance & Centralized Control Act as the single point of accountability for all facilities and workspace-related procurement, contracts, and vendor management activities nationwide. Establish and enforce procurement governance frameworks, ensuring compliance with corporate policies, financial controls, and regulatory requirements. Oversee end-to-end procurement lifecycle including sourcing, evaluation, contracting, and performance management. Contract Management & Commercial Structuring Lead the negotiation and structuring of long-term contracts in collaboration with Procurement, Finance, and Legal teams. Ensure robust contract terms covering SLA, KPI, risk allocation, performance incentives, and compliance requirements. Manage contract lifecycle including renewals, amendments, dispute resolution, and termination strategies. Vendor Performance & Risk Management Establish and manage vendor performance frameworks including SLA monitoring, KPI tracking, and periodic scorecards. Lead vendor registration, due diligence (IDD), audits, and performance reviews and drive escalation management and corrective action plans for underperforming vendors. Project Oversight & Delivery Assurance Oversee and assess major project deliverables related to workspace and facilities, ensuring adherence to agreed KPIs, SLAs, timelines, and budgets. Conduct site inspections, desktop evaluations, and validation of vendor submissions for work orders and project execution for major projects. Ensure quality assurance and compliance to contract agreement on deliverables, SLA and terms applicable. Audit, Compliance & Controls Lead periodic audits of procurement and vendor management processes to ensure full compliance with internal policies and external audit requirements. Develop and implement control measures to mitigate procurement, financial, and operational risks. Reporting, SOP & Process Excellence Develop and standardize forms, templates, SOPs, and reporting frameworks to enhance governance and operational efficiency. Prepare structured management reports covering vendor performance, procurement status, cost tracking, and risk indicators Requirements Minimum 3 years of relevant experience in Finance, Procurement, Contract Management, Legal, Quantity Surveying, Facilities Management, Building Services, Project Management, Engineering, or related fields. Experience in building, engineering, telecommunications, or other asset-intensive industries is preferred. Hands-on experience in contract administration, commercial management, procurement, or operational governance. Bachelor’s Degree in Finance, Contract/Law, Facilities Management, Quantity Surveying, Building Services, Project Management, Engineering, Science, or an equivalent discipline. Basic to intermediate understanding of contract management, commercial principles, and contract/legal terms. Good understanding of general management, operational administration, and governance processes. Proficiency in SAP, Coupa, Oracle, or other relevant ERP/procurement systems. Strong capability in data collation, analysis, validation, and forensic review, with good attention to detail. Intermediate to advanced project management knowledge, with the ability to manage timelines, deliverables, risks, and multiple stakeholders. Strong analytical, problem-solving, coordination, and stakeholder management skills.
