About The Role

The Role

The Site Coordinator is the front-line clinic manager at AICA Orthopedics. You own daily operations patient flow, staff performance, scheduling, compliance, and the patient experience from check-in to checkout.

You supervise front desk and clinical support staff, run daily huddles, handle performance conversations directly, and build the workflows your clinic runs on. This is a management role with real accountability for clinic-level outcomes.

What You'll Do

Daily Operations

  • Own patient flow, scheduling, coverage, and clinic readiness from open to close
  • Coordinate insurance verification, care transitions, and front desk workflows
  • Manage supply inventory, facility standards, and daily and weekly reporting
  • Monitor patient satisfaction data and no-show trends and act on what you find

Team Leadership

  • Supervise front desk and clinical support staff daily coaching, performance feedback, and formal performance management when needed
  • Handle disciplinary conversations directly and document performance issues with a complete record
  • Build the SOPs, training guides, and onboarding materials your team follows
  • Manage schedules and call-out coverage own the solution when gaps arise
  • Run daily huddles and catch workflow friction before it reaches patients
  • Track patient satisfaction scores, productivity metrics, and service quality and bring improvement proposals to your Practice Manager
  • Monitor HIPAA compliance and organizational policy adherence across your team

Required

  • 2+ years of healthcare front office supervisory or medical office manager experience with direct accountability for staff performance, patient flow, and clinic operations
  • Proven track record of managing people: performance check-ins, difficult conversations, coverage and scheduling ownership, and disciplinary documentation
  • Medical office operations knowledge: scheduling, insurance verification, patient intake, and EMR navigation
  • Strong written and verbal communication you create the guides, updates, and references your team relies on

Preferred

  • NextGen EMR experience — or deep proficiency in another clinical EMR with a track record of fast adoption
  • Experience with orthopedic, urgent care, or personal injury patients — including auto insurance and workers’ compensation coordination
  • Experience managing teams across multiple departments or clinical disciplines
  • Associate’s or Bachelor’s degree in healthcare administration or equivalent experience
