About the Role

We are looking for a proactive and highly organised Information Governance Coordinator to play a key role in supporting the Information Governance (IG) Team. This is an excellent opportunity for someone who enjoys working in a fast-paced environment, managing a varied workload, and making a meaningful contribution to compliance, governance, and data protection activities across CITB.

As the first point of contact for many Information Governance-related enquiries, you will provide administrative, operational, and coordination support to ensure the efficient running of the team. You will work closely with colleagues across the organisation, helping CITB meet its statutory obligations while driving high standards of information management and governance.

The coordinator’s primary accountability is to support the workload of team members within Information Governance, enabling them to carry out their day-to-day responsibilities effectively and efficiently

What you’ll be doing

Communication Management

  • Receive and assist customers who contact the Information Governance team via email, telephone, post, or in person.
  • Ensure the Information Governance group mailboxes are managed effectively and enquiries are responded to appropriately.

Meeting Coordination

  • Ensure team members are prepared for meetings and appointments by providing relevant information and documentation.
  • Arrange, support, and attend meetings, workshops, conferences, and training sessions as required.

Information Requests

Under the supervision of the Information Risk and Data Governance Manager

  • Process requests for information under the Data Protection Act (DPA), UK GDPR, and Freedom of Information Act (FOIA) in line with relevant legislation and policy.
  • Collate, analyse, and prepare information required to respond to requests.
  • Liaise with stakeholders across the organisation to gather information within agreed timescales.
  • Prepare and issue responses within statutory deadlines.
  • Maintain accurate records of all information requests and produce relevant management information and statistics.
  • Provide advice and guidance across the organisation on the handling of information requests to support compliance with legislative requirements and CITB policies.

Administration and Governance Support

  • Prepare a wide range of documentation, including correspondence, reports, presentations, spreadsheets, statistics, legal documentation, and records management materials.
  • Input and maintain accurate data within organisational systems and databases.
  • Maintain and update the Information Governance SharePoint site and Governance section of the CITB website.
  • Maintain and update the Information Governance Risk Register.
  • Ensure all administrative processes and procedures are followed and organisational systems are used effectively.

Team Support

  • Provide support and cover for administrative colleagues across the Legal, Governance and Compliance Directorate as required.
  • Undertake training and carry out additional duties appropriate to the role, team, and business needs.
  • Contribute to the overall effectiveness of the Information Governance Team.
  • Identify opportunities to improve working practices and administrative procedures.
  • Ensure information held by the team is accurate, up to date, and appropriately maintained.
  • Resolve routine issues through effective problem-solving and adherence to documented procedures.

What we’re looking for

Essential

  • Good standard of secondary education, including a minimum of 3 GCSEs (or equivalent), including English and Mathematics.
  • Proven experience using Microsoft Office applications, including Word, Excel, Outlook, and other document management and communication tools.
  • Knowledge and understanding of Data Protection legislation, UK GDPR, and the Freedom of Information Act.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and commitment to producing accurate work.
  • Excellent written English, with the ability to proofread and edit documents to a high standard.
  • Strong organisational skills with the ability to prioritise workloads and manage competing deadlines.
  • Ability to work independently, using initiative and judgement to manage tasks effectively.
  • Customer-focused approach with excellent interpersonal skills.
  • Ability to build and maintain effective working relationships with colleagues and stakeholders.
  • Strong spoken communication skills and confidence dealing with a range of stakeholders.
  • Ability to manage timelines and plan activities effectively.
  • Professional approach, demonstrating diplomacy, discretion, and confidentiality.
  • Adaptable and responsive to changing business needs.
  • Understanding of how own area of work contributes to wider organisational objectives.
  • Ability to work collaboratively across teams to achieve business goals.

Desirable

  • Experience supporting Information Governance, Data Protection, Records Management, Legal, Compliance, or Governance functions.
  • Experience of handling information requests under Data Protection or Freedom of Information legislation.
  • Experience of maintaining SharePoint sites or similar content management systems.
  • Experience of supporting senior stakeholders in a professional environment.
  • Understanding of records management principles and information governance best practice.
