Purchasing Specialist
As a Purchasing Specialist in our team, you’ll be acting as the single point of contact for a department in eMAG. You will be working closely with your stakeholders and other colleagues in Finance in order to understand and correlate different business elements while driving business results to the next level .
What you’ll have to do
- Purchase Order Generation and Processing: Creating, reviewing, and submitting purchase orders based on contracts and/or requests from departments, verifying the accuracy of item descriptions, quantities, prices, and supplier details.
- Procurement Process Audit and Control: Conducting periodic checks (internal audits) of the procurement flow, identifying deviations from internal policies, and proposing corrective and control measures.
- Financial Control and Risk Analysis: Assessing the operational and financial risks associated with procurement processes, monitoring compliance KPIs, and reporting improvement points to management.
- Supplier Management: Interacting with suppliers to place orders, confirm receipt, receive invoices and upload them into SPV, maintaining strong long-term relationships, and periodically evaluating supplier compliance.
- Approval Flow: Routing purchase orders for internal approval, managing bottlenecks or revisions, and verifying compliance with authorization levels (segregation of duties).
- Monitoring delivery status, following up on outstanding deliveries, and expediting delayed orders.
- Collaborating with the Accounting department to match purchase orders with invoices and receipts (3-way matching), investigating, documenting, and resolving any discrepancies found.
- Documentation and Compliance: Maintaining accurate and auditable records of all purchases, contracts, and supplier information, ensuring compliance with internal policies, procedures, and internal control requirements.
- Process Recommendations: Proposing and implementing improvements to internal controls and workflows, based on findings from audit/control activities.
Let’s meet if you have these skills
- A completed higher education degree (Economics, Finance-Accounting, or Law fields are a plus);
- Minimum 2 years of experience in internal audit, financial control/controlling, or procurement with a control and compliance component;
- Prior experience auditing operational or financial processes, with a focus on risk identification and proposing corrective measures;
- Advanced level of English;
- Very good analytical skills and high attention to detail;
- Experience in drafting and negotiating offers and contracts is an advantage;
- Knowledge of internal control principles, segregation of duties, and operational risk management;
- Ability to organize, prioritize, and manage multiple projects/checks simultaneously;
- Good communication, relationship-building, and presentation skills for reporting findings to management;
- Strong decision-making skills in complex and ambiguous situations;
- Openness to continuous leaning and improvement in a dynamic environment;
- Advanced knowledge of Microsoft Office (especially Excel); experience with ERP systems (e.g. SAP) is an important advantage;
- Nice to have - certifications in audit/control (e.g. CIA, ACCA – partial or full)
