The IT Fulfillment Associate is an important part of the City IT Helpdesk team and is responsible for managing the day-to-day fulfillment and tracking of IT equipment across the organization. This includes preparing, shipping, receiving, and tracking laptops, monitors, peripherals, and other IT assets to ensure employees have the equipment they need to do their jobs.

This role works closely with the IT Helpdesk and other internal teams to fulfill equipment requests, maintain accurate asset records, coordinate shipments, and manage returned equipment. The IT Fulfillment Associate will also help ensure IT inventory is organized, accurately tracked, and available when needed.

The ideal candidate is highly organized, detail-oriented, comfortable working with technology and physical equipment, and able to manage multiple requests while providing responsive customer service.

Essential Job Functions

  • Manage the day-to-day fulfillment of IT equipment requests, including preparing, packaging, shipping, receiving, and tracking IT assets.
  • Prepare laptops, monitors, mobile devices, peripherals, and other IT equipment for new hires, employee replacements, and other approved requests.
  • Maintain accurate records of IT assets, including equipment assignments, inventory levels, shipment information, and equipment status.
  • Process incoming IT equipment and ensure assets are properly recorded, labeled, stored, and available for future use.
  • Coordinate the return of IT equipment from employees and locations, including tracking shipments and updating asset records when equipment is received.
  • Work closely with the City IT Helpdesk and other IT teams to ensure equipment requests are completed accurately and on time.
  • Track shipments and follow up on delayed, missing, or damaged equipment to help resolve issues quickly.
  • Monitor IT inventory levels and communicate when equipment or supplies need to be replenished.
  • Maintain an organized IT equipment storage area and ensure equipment can be located and issued efficiently.
  • Assist with equipment refreshes, replacements, deployments, and other IT projects as assigned.
  • Investigate and resolve basic fulfillment, inventory, and equipment tracking issues.
  • Maintain a high level of accuracy when entering and updating information in IT and inventory systems.
  • Provide responsive customer service to employees and internal teams regarding IT equipment requests and fulfillment status.

Education/Experience

  • Experience in IT asset management, IT fulfillment, logistics, inventory management, warehouse operations, or a related field is preferred.
  • Experience handling and tracking technology equipment is a plus.
  • Familiarity with Microsoft Office, particularly Excel, Word, and Outlook.
  • Familiarity with Microsoft Azure and Exchange is preferred.
  • Experience working with inventory, ticketing, asset management, or other business systems is a plus.
  • Demonstrated ability to solve problems, follow established processes, and complete tasks accurately and on time.

Interview Process

  • 30-minute Talent Acquisition Phone Screen.
  • 1-hour onsite interview with members of the IT Helpdesk Support team.
