Job Summary
The International Operations Coordinator is a highly organized, execution-focused role responsible for centralizing administrative, reporting, compliance, marketing support, and operational coordination activities across the International business. This position serves as the primary owner of recurring processes, ensuring tasks are completed accurately, on time, and according to established standards. This position requires exceptional attention to detail, strong organizational skills, process discipline, and the ability to manage multiple recurring workflows across various functions and stakeholders.
Responsibilities
Key Accountabilities
Marketing Operations & Asset Management
- Manage the collection, organization, and distribution of product marketing assets across international partners.
- Upload and maintain:
- o Product photography and product shots
- o eCommerce product copy
- o Social media assets
- o In-store marketing materials
- Maintain and organize SharePoint libraries and digital asset repositories.
- Ensure assets are current, properly categorized, and accessible to stakeholders.
- Support ongoing documentation and file management processes.
Site, Social & Partner Audits
- Conduct regular partner eCommerce site audits and scrubs.
- Perform weekly and monthly reviews of partner websites for content accuracy and compliance.
- Execute Facebook and Instagram audits for international partners.
- Identify inconsistencies, missing content, or outdated materials and communicate findings.
- Support monthly social calendar reviews and content validation.
Store Operations & Visual Support
- Manage weekly store photo workflows.
- Receive, organize, upload, and compile store photography into presentation decks for review and feedback.
- Track and maintain seasonal information boards and supporting documentation required for store floor set execution.
- Support promotional communication and guidance distribution to international partners.
- Provide ad hoc reporting support related to store management activities.
Planning, Reporting & Business Operations
- Execute weekly Liverpool sales reporting processes.
- Prepare and distribute International Weekly Recap reports, including:
- o Data refreshes
- o Data extraction and consolidation
- o Pivot table creation and maintenance
- o Report formatting and distribution
- Manage daily sales reporting processes during monthly reporting cycles.
- Populate, validate, and distribute recurring sales reports.
- Upload approved reporting files into designated systems and reporting platforms.
- Support month-end actual reporting by:
- o Pulling Cognos data
- o Updating ROF files
- o Maintaining reporting accuracy and deadlines
Royalty Tracking & Sales Validation
- Track and validate royalty reporting across international partners.
- Monitor missing sales submissions and reporting gaps.
- Perform weekly tracking and month-end reconciliation activities.
- Escalate discrepancies and support resolution efforts.
- Maintain documentation and reporting records for audit purposes.
Compliance & Testing Support
- Pull and distribute seasonal testing and compliance reports.
- Support testing documentation processes for international partners.
- Assist with reporting through approved compliance platforms, including BV and ITS systems.
- Maintain testing records and support follow-up activities as required.
Technical Documentation Support
- Retrieve and distribute technical documentation and tech packs for business partners.
- Maintain organized access to product and technical files.
- Utilize SDMS and other internal systems to support documentation requests.
- Ensure documentation is current and properly archived.
Process & Workflow Management
- Own assigned recurring operational processes and calendars.
- Maintain standard operating procedures and process documentation.
- Identify opportunities for workflow improvements and increased efficiency.
- Ensure consistency, accuracy, and timeliness across all assigned responsibilities.
- Support cross-functional communication and follow-up to ensure task completion.
Education and Experience
- Bachelor's degree or equivalent work experience.
- 2–5 years of experience in operations, sales support, marketing operations, business administration, or a related field.
- Advanced proficiency in Microsoft Excel, including pivot tables and data manipulation.
- Strong proficiency in PowerPoint, SharePoint, and Microsoft Office applications.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple recurring tasks and deadlines simultaneously.
- Strong written and verbal communication skills.
- Proven ability to follow structured processes and maintain data accuracy.
Skills & Behaviors
- Experience supporting international business operations.
- Experience with Cognos reporting tools.
- Familiarity with eCommerce platforms and digital asset management.
- Experience with compliance, testing, or technical documentation systems.
