We are now seeking a highly organised and detail-focused Tokotū Whakahaere | Cluster Administrator to join us in a newly formed role designed to strengthen administrative practice across our services.

Mō te tūranga | About the role

This is a unique opportunity to be part of a pilot initiative, testing a new model of delivering high-quality, consistent administrative support across a cluster of kindergartens.

In this role, you will

  • Support

Ministry of Education (MoE) compliance and funding accuracy

  • Ensure audit-ready systems, records, and documentation
  • Strengthen consistency across administrative practices
  • Proactively identify risks and improve systems and processes
  • This role is critical in helping our services operate smoothly, so teams can focus on what matters most—tamariki.
  • What you’ll be doing

You will deliver end-to-end administrative support across multiple services, including

Compliance & Funding

  • Preparing and submitting accurate MoE funding documentation
  • Monitoring compliance and addressing risks
  • Maintaining audit-ready records

Systems & Data Integrity

  • Managing Student Management System alerts and dashboards
  • Ensuring accurate data entry and system use
  • Supporting consistent use of organisational systems

Multi-Service Administration

  • Enrolments, attendance and roll management
  • Payroll timesheets and roster support
  • Financial administration (invoicing, receipting, reconciliations)
  • Electronic filing and general administration

Continuous Improvement

  • Identifying opportunities to improve systems and processes
  • Supporting standardisation across services
  • Contributing to capability development across administration teams

  • You’ll thrive in a complex, fast-paced environment and take pride in delivering high-quality, accurate work.

We’re looking for someone with

  • 3+ years’ administration experience (ideally in a compliance-focused or regulated environment)
  • Strong systems and data management capability
  • Advanced Microsoft Office skills (particularly Excel)
  • Exceptional attention to detail and accuracy
  • Strong organisation and prioritisation skills
  • A proactive, adaptable and solution-focused approach
  • You’ll also bring a commitment to Te Tiriti o Waitangi and the ability to work effectively in a bicultural environment.
