About The Role
Responsibilities
- Perform daily staffing for all bedded units.
- Track and assign the Float Pool staff to the appropriate units
- Maintain all staffing sheets/ census and 1:1 assignment
- Call each nursing unit to verify staffing every 4 hours
- Take all sick calls/ unexcused absence for staff in house (Nursing Units only)
- Ensure that these sick calls are entered into API
- Call/ notify the unit of sick call
- Enter and update staffing changes for all bedded nursing units in API
- Track all census information for (3) three shifts
- Track/ document cancellation of Float Pool/ Bedded unit staff
- Maintain holiday schedule for Float Pool staff, and assign holidays when necessary
- Work with Float Pool staff to cover in house needs.
- Identify hard to fill roles and take the proactive actions to fill those shifts
- Send out a Broadcast message to staff if needed using Trusted app
- Provide feedback to Float Pool manager about float staff when needed
- Assist new Float Pool staff with API self-scheduling as needed
- If census is high cancel Float Pool staff 2 hours before the start of their shift
- Balance and maintain appropriate staff in the Float Pool in accordance with Float Pool Management
- Organizes and prepares work schedules for Float Pool employees to ensure coverage and availability.
- Verify hours worked for all agency staff
- Maintain and fax agency time sheets to appropriate agency if needed
- Maintain all private duty records and sign in sheets.
- Maintain and track all mandatory training requirements for agency staff
- Research discrepancies with Agency billing and Accounts Payable
- Track and complete all agency invoices
- Complete agency payroll in Magnet and API when appropriate
- Maintain and track all the bedded units’ statistics for New Jersey Department of Health.
- Post all statistics on the New Jersey state web site
- Post all appropriate unit staffing numbers on all units
- Communicate tardy and early swipes for all Float Pool Staff to management
- Verify all Float Pool staff are fulfilling their required shifts
- Verify Float Pool staff swipes in to correct cost center
- Deal with complaints and questions regarding payroll from employees and upper management
- Investigate and resolve any discrepancies in payroll for some Bedded Units
- Maintain daily/monthly schedule changes for all Nursing Units.
- Assist managers and coordinators with payroll (API) when necessary
- Assist Unit Associate/ Assistant Nurse Manager with deceased patient form
- Assist Funeral home with necessary paperwork for the removal of deceased patients
- Contact Case Management when deceased patients are not removed in a reasonable time
- Contact attending and pronouncing physician if paperwork is not completed
- Maintain all deceased patient paperwork
- Contact and fax all paperwork to Lab if patient’s family request an autopsy
- Follow up with family members if autopsy paperwork is not completed in a timely manner
- Document deceased patients on hold for Sharing Network
Requirements
- Must be reliable and dependable.
- Knowledge of Staffing/ Scheduling/ Microsoft Excel
- Excellent communication and interpersonal skills
- Knowledge of Scheduling/ Payroll software
- Experience with Staffing or similar position
- Must be able to keep data confidential.
- Able to work under stressful situation.
- Must be extremely organized.
Education Requirements
- Bachelor’s Degree Preferred
