About The Role
Coordinates administrative and/or operational functions of an organizational unit under the supervision of a manager or director. May supervise and/or provide guidance to employees or be responsible for the management of programs, initiatives or events.
Support Current Research Administration Technology Systems : Serves as the primary functional support resource for the University's electronic research administration systems, including Cayuse and future enterprise research administration platforms. Coordinates system configuration, maintenance, troubleshooting, and user support to ensure system reliability and effective utilization across the research enterprise. Collaborates with Information Technology and software vendors to identify, diagnose, and resolve system issues while monitoring performance and recommending enhancements that improve operational efficiency. Maintains system documentation, communicates software updates and enhancements, and provides ongoing guidance to users to maximize the effectiveness of research administration technologies.
Data Management and Governance : Coordinates the collection, integration, validation, and management of research administration data from multiple institutional systems to ensure data accuracy, consistency, accessibility, and security. Develops and maintains data standards, business rules, and governance practices that support institutional reporting, regulatory compliance, and strategic decision-making. Performs routine data quality assessments, identifies discrepancies, and implements corrective actions to improve data integrity. Including maintenance of eRA System backbone including, templates, organization, and employees and sponsors. Collaborates with stakeholders across the University to establish processes that promote reliable research administration data and enhance operational effectiveness.
Research Administration System Implementation and Business Process Improvement : Coordinates projects related to the implementation of electronic research administration systems. Participates in business process analysis, requirements gathering, workflow design, project planning, testing, user acceptance, implementation, and post-production support activities. Works closely with internal stakeholders, Information Technology, and software vendors to ensure system functionality aligns with institutional business requirements and strategic objectives. Documents business processed, develops standard operating procedures, supports change management initiatives, and identifies opportunities to streamline research administration workflows through technology and process improvements.
System Administration and User Access : Administers user access, security roles, and system permissions for research administration platforms while ensuring compliance with institutional policies an applicable regulations. Maintains business process documentation and supports proposal, award, modification, and closeout activities by ensuring the integrity of research administration records. coordinated with Information Technology and functional stakeholders to manage user provisioning, troubleshoot access issues, and maintain appropriate system controls that protect institutional data and support efficient business operations.
Research Analytics, Reporting, and Decision Support : Develops, analyzes, and maintains report, dashboards, and data visualizations that support institutional planning and research administration operations. Performs trend analyses related to proposal activity, award performance, sponsor engagement, and other research performance metrics to provide actionable information for University leadership and stakeholders. Responds to institutional data requests, develops executive-level reports, and identifies opportunities to leverage analytics for continuous improvement of research administration services and strategic decision-making. Assists with pre-award review notice of Awards and award setup. Performs quality assurance reviews of award setup to ensure accuracy of eRA system data.
Performs other related duties as assigned
- Bachelor’s degree in business administration, information systems, public administration, higher education, research administration, or a related field
- Minimum of two year years of progressively responsible experience supporting enterprise information systems, research administration, grants management, business process improvement, or data analytics.
- An equivalent combination of education, training and experience may be substituted for the degree requirement.
