Administrative Operations Coordinator

. This position will provide administrative and related support services primarily to the Pastor. Manage the many aspects of administration primarily: social media; Coordination of collegial bodies (Staff, Finance Council, Pastoral Council, Corporators); Coordination of the details of record keeping for finance, building and properties. The position assists with the details of office practices and procedures to ensure maximum efficiency and effectiveness within the context of the Parish and the Catholic Church’s Mission.

This is a part-time position working 25 weekly hours with benefits.

Essential Functions

Compose, prepare, and distribute correspondence and other documents as instructed by Pastor. Correspondence will include:
Parish mailing
Parish-wide communications, including the website and other social media platforms
Develops and implements communications to enhance Parish life
Meeting agendas, minutes, including those related to Pastoral Council and other council/committee meetings.
Establish record-keeping and filing systems for the Parish’s records and correspondence
Assist in the preparation of the Annual Archdiocesan Consolidated Report
Convene the staff periodically for collaboration and exchange of information and needs etc. Share information with Pastor as needed to ensure appropriate follow-up.
Analyze processes and procedures currently in place and suggest and implement improvements.
Provide back-up and as-needed assistance to other parish office staff members as needed.
Perform other duties as requested or needed.

Primary Duties of Position

Social Media (Parish website, Flocknotes, or similar)

Convening, attending, and preparing agenda and minutes for meetings of Collegial bodies including Staff, Pastoral Council, Finance Committee, and others as identified by Pastor. Furthermore, assisting with schedules, notifications, follow-up items, and other important details

Scheduling, monitoring, and organizing constant requests for building inspection and Archdiocese deadlines and protocols

Position Qualifications

Minimum of five years’ experience in an executive administrative or office manager position, with demonstrated supervisory and team-building skills

Advanced level of proficiency in the use of Microsoft Office suite of products and a willingness to learn the platforms used by the Archdiocese (Ministry Platform, Canva, Microsoft Teams, etc.)

Demonstrated ability to establish priorities and organize work effectively

Thorough knowledge of modern office practices and procedures, and the use of office machines and equipment

Working understanding of the Catholic faith and Catholic teachings

Within three to six months of date of hire, must demonstrate thorough knowledge of the policies, procedures, structure, and hierarchy of the Archdiocese of Baltimore and the ability to understand and interpret pertinent policies and procedures clearly and accurately

Ability to establish and maintain effective working relationships with others from all walks of life and in various occupations

Ability to project a positive, professional, and empathetic image to the public and to all constituents

Ability to maintain utmost confidentiality and professional demeanor in all situations

Ability to communicate effectively orally and in writing

Ability to take meeting minutes and to transcribe them accurately

Excellent verbal and written communication skills

Ability to project a conservative and professional demeanor.

Working Environment

Evening work and presence at weekend worship will be required periodically particularly to attend meetings of the Pastoral Council, Finance and other parish collegial bodies, and to be present when parishioners gather for weekend Masses and social events. There are some opportunities to work remotely.

Dress Code

St. Matthew Parish has a dress code that prohibits visible tattoos and excessive visible body piercings, limiting piercings to ears. Parish staff must exhibit a conservative and professional image in keeping with their role as Church personnel.

Pay Range: $25.00 - $28.00, Hourly
