Executive Assistant ROLE PROFILE GENERAL Date December 2025 Location Aggeneys, Northern Cape Operations (Please indicate the operation – by ticking the appropriate box) GB BMM ✓ Job Grade D1 (Paterson) / M7 (Vedanta) ROLE CONTEXT Vedanta Zinc International (VZI) operates two major mining complexes in the Northern Cape: · Gamsberg – a large-scale open ‑ pit zinc operation requiring high ‑ precision drill & blast execution to achieve fragmentation, slope stability and production targets. · Black Mountain Mine (BMM) – an underground operation where drill & blast quality directly influences development advance, stope performance, dilution control and safety. The General Manager at each site oversees wide ‑ ranging operational, technical, strategic and governance responsibilities. The execution of these responsibilities requires strong executive support, disciplined coordination and reliable technical assistance. The Executive Assistant: Operations (D1) provides high ‑ level executive, administrative and technical support to the General Manager at either operation. The role acts as the central coordination point for communication, reporting, operational reviews, governance processes and technical data consolidation across multi ‑ disciplinary teams. PURPOSE OF THE ROLE To provide confidential, professional and technically ‑ informed executive support to the General Manager, ensuring effective coordination of operational, administrative and technical activities across the site. The role ensures: · Smooth and efficient functioning of the General Manager’s office · High ‑ quality operational, technical and performance reporting · Structured decision ‑ making support and governance · Professional communication across internal and external stakeholders · Effective coordination with business partners, leadership teams and corporate functions · Technical and analytical support for operational insights, performance dashboards and project tracking RESPONSIBILITIES 1. Executive Office Support · Manage the General Manager’s calendar, priorities, workflows and travel arrangements. · Coordinate Executive, Operational and Leadership Team meetings. · Prepare agendas, take minutes, track actions and follow ‑ up commitments. · Serve as the primary liaison for internal and external stakeholder communication. 2. Technical & Analytical Support · Assist the GM with analysis of operational and technical data (mining, plant, engineering, safety, performance). · Support preparation and review of dashboards, KPIs and performance packs. · Conduct basic technical analysis, summarisation and interpretation of operational trends. · Consolidate technical inputs from Operations, Engineering, Metallurgy and HSE. 3. Operational Governance & Reporting · Support execution of governance cycles including weekly, monthly and quarterly business reviews. · Prepare and maintain executive reports, presentation decks, performance summaries and portfolios of evidence. · Manage documentation for audits, compliance reviews and EXCO submissions. · Maintain governance calendars and reporting schedules. 4. Communication & Stakeholder Engagement · Draft executive correspondence, announcements and communication briefs. · Coordinate site ‑ level engagements with business partners, regulators, community leadership and corporate executives. · Ensure structured communication flow between GM, leadership teams and departments. 5. Confidential Administrative Management · Maintain confidential HR, IR, legal, performance and strategic documents. · Manage document ‑ control systems for executive files, decision logs and contracts. · Ensure professional and discreet handling of all sensitive information. 6. Project & Business Support · Assist the GM with tracking of operational projects, improvement initiatives and cross ‑ functional deliverables. · Monitor progress on key operational priorities and provide status updates. · Support planning and coordination for site visits, audits and strategic reviews. 6. Business Partner Coordination · Facilitate communication and administrative coordination with business partners supporting operations. · Ensure compliance documentation, service ‑ delivery tracking and performance alignment Assist the GM with evaluations, performance summaries and governance requirements. 7. Safety, Risk & Regulatory Compliance · Ensure all executive and technical tasks comply with safety standards and VZI governance. · Conduct VFLs, plant walk ‑ downs, PTOs and risk assessments (IBRA/HIRA) when supporting operational or technical activities. · Assist the GM with reviewing safety dashboards, incident reports and compliance submissions. · Prepare documents required for safety audits, environmental reviews and regulatory inspections. QUALIFICATIONS, EXPERIENCE, KNOWLEDGE & SKILLS Qualifications · Diploma or Degree in Business Administration, Management, Engineering, or relevant field. · Executive Office Management certification advantageous. · Technical or data ‑ analysis training advantageous. Experience · 5–7 years in senior administrative, executive ‑ support or coordination roles. · Experience in mining, processing, engineering or industrial environments advantageous. · Exposure to technical reporting, KPIs, production analysis or operational governance beneficial. · Strong experience in preparing executive ‑ level documentation and reports. Technical Competence · Strong analytical ability, with capability to work with operational/technical data. · Advanced MS Office skills (Excel, PowerPoint, Teams, Outlook). · High proficiency in business writing, report preparation and presentation design. · Understanding of mining and processing terminology and performance drivers. · Strong document ‑ management and governance ‑ tracking capability.
