Managing all types of patent administation activities and researches The Patent Administration Specialist will support the Intellectual Property (IP) department by managing patent-related data, coordinating with external patent agents, and assisting with IP finance processes. The role requires strong attention to detail, excellent communication skills, and proficiency in database management.

Your Main Tasks and Responsibilities Are

• Enter and verify patent administration data in the Patent database and management system (currently Patricia).
• Communicate with external patent agents, particularly on formalities-related matters.
• Request and process financial authorizations for IP-related payments in the ERP system (currently Infor).
• Conduct data research, collect relevant information, and prepare reports.
• Collaborate and communicate effectively with stakeholders across departments.
• Provide administrative support for patents, IP finance, and program/project management activities.

What Do We Expect from You

• Experience maintaining databases.
• Proficient in Microsoft Office tools (Word, Excel, Outlook, PowerPoint).
• Knowledge of Excel VBA and/or Power BI is a plus.
• Prior experience with patent databases and/or management systems (e.g., Patricia) preferred.
• Familiarity with financial authorization processes is an advantage.
• Strong data accuracy and attention to detail.
• Excellent verbal and written communication skills in English.
• Ability to manage multiple tasks and meet deadlines.
