Position overview As Executive Secretary III to the Warden at Centralia Correctional Center, you will be instrumental in assisting with the processing of all aspects of the duties and responsibilities of the Warden’s Office. You will ensure the direction disseminated by Warden and his/her superiors is relayed in a proficient and accurate manner to the appropriate locations. You will also maintain accurate files and electronic documents to ensure the smooth and efficient operation of Warden’s office. Essential Functions As an administrative secretary, conducts special projects and studies by gathering data, coordinating, monitoring and completing assigned projects As a secretary, keyboards correspondence, memoranda, reports and other documents Composes replies to routine correspondence and signs supervisor's signature Maintains appointment calendar Opens, reads and sorts all incoming mail Monitors Employee Review Board hearings and oral reprimands issued Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above Minimum Qualifications Requires knowledge, skill and mental development equivalent to completion of two (2) years secretarial or business college and three (3) years of secretarial experience OR completion of high school and five (5) years secretarial experience Requires ability to type accurately at 55 wpm Preferred Qualifications Prefers at least three (3) years of experience working with confidential material Prefers at least three (3) years of experience applying rules and regulations of a private or public agency Prefers at least three (3) years of experience applying the principles of office management Prefers at least three (3) years of experience composing correspondence independently on behalf of another person Prefers at least two (2) years of experience establishing and developing written instructions and procedures Prefers at least three (3) years of experience interacting with management, officials of government, private industry, and the public Prefers at least two (2) years of experience communicating clearly and effectively both orally and in writing Prefers at least two (2) years of experience gathering, analyzing, and interpreting data and preparing reports Prefers at least one (1) year of experience operating common office equipment such as multi line phone systems, copiers, fax machines, and scanners Conditions of Employment Requires ability to pass the IDOC/IDJJ background check Requires ability to pass a drug screen.
