About The Role
Major Responsibilities
Duties will vary by office according to need. Incumbents in this position will perform duties that support the efficient operation of a service office. Incumbents will perform some, but not all of the following regular service office functions.
1)Scheduling i. Schedules all new referrals with an Admitting and Primary nurse and communicates new patient to staff. ii. Confirms receipt of referrals. iii. Enters referrals into Encounter technology. iv. Maintains referral/log book. v. Communicates ordered disciplines to contracted therapy company/home health aid/Medical Social Worker. vi. Compiles and reports daily admission and visit numbers. vii. Maintains transfer logbook. viii. Maintains/Confirms all visits on WAR sheets. ix. Completes change of status forms and updates STAT/ET. x. Notifies appropriate staff of change of status. xi. Runs and works “Pre-Admit” report. xii. Enters non-admit information into the STAT system.
2)Payroll i. Checks in all visit notes ii. Enters all summaries of service. iii. Follows up with any notes not received or with inaccurate data. iv. Prints all notes/narrative notes/physician orders from Encounter Technology. v. Prints all forms not associated with a billable visit from Encounter Technology. vi. Runs weekly visit report from STAT. vii. Tracks timeliness of paperwork. viii. Assists with training new staff on TEMS system. ix. Troubleshoots any discrepancies with staff’s pay.
3)Data Entry i. Enters appropriate information into STAT, ET,and/or OASIS systems. ii. Enters Admission/recertification/resumption of care information into STAT/ET/OASIS iii. Enters Discharge and Transfer information into OASIS and/or STAT/ET. iv. Performs nightly backup/export of OASIS Genie v. Runs reports as necessary. vi. Performs monthly export and archiving functions for OASIS Genie. vii. Batches all assessments in ET. viii. Performs data quality checks.
4)Medical Records i. Files all paperwork into the medical record. ii. Identifies and pulls discharged charts. iii. Performs discharge analysis on all discharged records iv. Maintains medical record check out log. v. Assembles new medical record charts. vi. Maintains physician order tickler file.
5)Billing i. Assists in Medicare billing audit review. ii. Medicare billing follow up. iii. Medicare billing releasing.
General Office Duties
10)Maintains files as requested Performs other duties as needed. Mails or faxes plan of treatment and verbal orders to physicians and maintains tickler file. Follows up with physician as needed. Orders medical supplies as needed.
1)Appropriately answer and triage all incoming phone calls in accordance with Corporate Customer Service Standards.
2)Greets visitors.
3)Distributes all incoming mail
4)Inventories and orders office supplies and forms
5)Pages staff
6)Transfers phone to answering service
7)Removes phones from service
8)Assembles orientation packets
9)Makes copies and faxes as requested
