About The Role

Got a knack for keeping chaos organized and projects on track? We're on the lookout for a

PMO

to build and run the project governance backbone for our growing team.

  1. Project Coordination & Administration

Independently manage day-to-day coordination of project activities, deliverables, and cross-department collaboration with minimal oversight.

Own project documentation end-to-end—agendas, meeting notes, reports, presentations—and drive follow-ups until loops are closed and action items are completed.

Schedule and run project meetings, manage logistics, and handle related communication (emails, letters, contracts), while maintaining accurate, audit-ready project files.

Track project progress, risks, and issues, flagging deviations proactively and ensuring adherence to defined TAT for PMO activities.

Use AI tools (e.g., ChatGPT, Copilot, Gemini, Claude) to speed up meeting-note summarization, first drafts of status updates, and routine documentation, with human review for accuracy.

Manage timesheet verification—review and validate submitted timesheets, and work closely with the Finance team to support accurate and timely invoicing.

  1. Reporting & Quality Support
  • Consolidate and quality-check weekly status reports, dashboards, and risk registers from project teams, identifying inconsistencies before escalation.
  • Lead quality checks on documentation to ensure accuracy, consistency, and compliance with PMO standards.
  • Conduct internal quality audits and documentation reviews, and drive open items to closure.
  • Prepare executive summaries and management-level reporting with minimal supervision.
  • Apply AI/BI tools to automate recurring reports and surface trends in project data for leadership review.
  1. Tools & Process Support

Champion the usage of internal project management and reporting tools; ensure compliance with PMO processes, templates, and frameworks.

Identify opportunities to streamline PMO workflows using automation or AI-based tools (e.g., dashboard automation, generative-AI-assisted reporting, prompt-based data summarization).

Coordinate with internal teams to collect required data for reporting and analysis, and help onboard junior team members to PMO tools and processes.

  1. Stakeholder Coordination
  • Coordinate with multiple internal stakeholders (Test Managers, Leads, Hiring, Finance, HR) to collect data and ensure timely, accurate communication.
  • Build and maintain professional, consistent stakeholder relationships, acting as a reliable point of contact for PMO matters.
  1. Quality & Compliance Support
  • Review project reports and documentation to ensure alignment with PMO standards, providing feedback to project teams where needed.
  • Lead internal audits and follow through until open items are resolved and officially closed.

Required Skills & Qualifications

Bachelor's degree (any discipline preferred; business or IT background is a plus).

2–4 years of experience in project coordination, PMO, or administrative roles, preferably in IT or a related industry.

Proficient in Google Workspace (Sheets, Docs, Slides). Working knowledge of visualization tools such as Looker Studio, Power BI, or other BI/visual reporting tools is preferred.

Hands-on exposure to AI tools for productivity, reporting, or documentation (e.g., ChatGPT, Microsoft Copilot, Gemini, or similar) — comfortable using them to draft content, summarize data, or automate routine tasks.

Excellent verbal and written communication skills in English.

Strong problem-solving, stakeholder management, and time management abilities.

Highly organized, detail-oriented, and capable of managing multiple projects simultaneously.

Self-motivated, proactive, and able to work independently with minimal supervision.

Positive attitude and ability to work well under pressure in a fast-paced environment.
