Provides advanced coordination and administrative support to the estimating and preconstruction teams throughout bid, proposal, and buyout phases, with a strong emphasis on organization, accuracy, and proactive planning. Leads and manages document control, trade partner communication, and bid logistics for multiple concurrent projects, including coordinating and working with the Prequalification Liaison to support the prequalification of trade partners as part of the solicitation process. Establishes and maintains standardized workflows and tracking systems to ensure deliverables and documentation are accurate, organized, and aligned. Demonstrates the ability to be a proactive problem solver.

  • Coordinates all aspects of the bidding and proposal process, including communication with trade partners, bid distribution, and document tracking.
  • Manages document control and ensures timely updates and access to drawings, specifications, and addenda.
  • Prepares bid logs, bidder comparison summaries, and proposal templates for estimator review.
  • Communicates project timelines, deliverables, and clarifications with internal and external stakeholders, including coordination with SPW, EIG, prefab for solicitation of the right and proper trade partners and vendors to ensure complete coverage.
  • Supports estimating bid solicitation database maintenance and subcontractor records.
  • Provides administrative and scheduling support for preconstruction meetings, presentations, and interviews.
  • Trains and mentors estimating coordinators on bid management procedures and digital tools.

Qualifications

  • High School Diploma/GED or equivalent experience required.
  • 4–6 years of experience in estimating coordination, administrative support, or construction project administration required.
  • Experience with estimating software such as Building Connected or equivalent bid solicitation software preferred.
