About the Role

We are seeking a highly organized and proactive Virtual Medical Assistant to provide critical administrative and clinical support to a fast-paced cardiology clinic.

In this role, you will work remotely while interacting directly with patients, healthcare providers, pharmacies, and the physician. You will be responsible for preparing patient charts, managing medical records, supporting prescription refill requests, coordinating prior authorizations, monitoring communications, and ensuring patients receive timely follow-up care.

Because the clinic serves many Spanish-speaking patients, fluent bilingual proficiency in

English and Spanish

  • is highly preferred.
  • The ideal candidate is sharp, proactive, compassionate, and capable of managing multiple priorities while maintaining accuracy and professionalism.

KEY RESPONSIBILITIES

  1. Pre-Visit Chart Preparation & Administration
  • Open and thoroughly review patient charts in the EHR before physician consultations
  • Retrieve and upload external diagnostic records, including:
  • CT scans
  • Lab results
  • Diagnostic files
  • Reports from outside providers
  • Review previous physician plans and anticipate upcoming needs
  • Ensure recommended test results and necessary records are available before follow-up appointments
  • Review and manage incoming faxes
  • Verify that all required pre-operative documentation is complete before patient scheduling
  • Maintain accurate and organized patient records
  1. Communication & Inbox Management
  • Monitor incoming: Virtual faxes; Medical messages; Patient communications; and Medical assistant phone extension
  • Identify and immediately escalate abnormal or urgent test results to the appropriate medical team
  • Answer patient phone calls professionally and compassionately
  • Respond to patient inquiries in both English and Spanish when needed
  • Communicate effectively with patients, pharmacies, and healthcare providers
  1. Prescriptions & Insurance Authorizations
  • Process prescription refill requests by phone or through the EHR according to established clinic protocols
  • Communicate with pharmacies regarding prescription-related matters
  • Manage medication prior authorizations with insurance providers
  • Track authorization requests and follow up as needed
  • Maintain accurate documentation of prescription and authorization activity
  1. Care Coordination & Patient Follow-Up
  • Monitor hospital discharge lists
  • Identify patients requiring follow-up within 7 days
  • Proactively schedule transition-of-care appointments
  • Track patient follow-up requirements
  • Support general administrative workflows to improve cardiology clinic operations
  • Ensure important follow-up tasks are completed accurately and on time

QUALIFICATIONS & SKILLS
