POSITION SUMMARY

This position provides administrative and operational support to Retail Leasing team, ensuring the smooth and efficient management of the leasing process, from initial documentation through to deal completion and filing. The ideal candidate is a detail-oriented professional who enjoys administrative precision, contract management, and paperwork, and who takes pride in maintaining impeccable records and supporting the team’s strategic objectives.

PRIMARY RESPONSIBILITIES

Leasing Administration & Documentation

  • Prepare, proofread and format leasing documents, including letters of intent, term sheets, and standard correspondence in both English and Chinese.
  • Maintain and update all leasing files, databases, and tracking systems with a high degree of accuracy and confidentiality.
  • Coordinate the signing and distribution of leasing agreements and related legal documents.

Contract & Compliance Support

  • Assist in the preparation and initial review of tenancy agreements and related addendums, ensuring all standard clauses and tenant details are correctly reflected.
  • Support the team in tracking critical dates, deadlines, and compliance matters for existing leases.

Coordination & Communication

  • Serve as a key point of contact for internal administrative queries related to leasing matters.
  • Coordinate with Retail Projects and Operations team to secure all necessary SERF packages and answer technical queries.
  • Manage all contract signing and completion as per requirements (i.e. Notarizations, Receipt of Deposits, Insurances, etc).
  • Facilitate regular Retailer background checks and vendor registrations.
  • Prepare all lease packages for internal approvals and follow up (i.e. accompanying analysis, checklists, financial reports, and contract control sheets)
  • Assist, file and keep track on leasing enquiries.
  • Handle routine correspondence with prospective and existing tenants in a professional manner when requested.

  • Passionate about Retail and Shopping
  • Independent, Proactive, Self-motivated, and with strong business sense
  • Excellent interpersonal communication, attention to detail, presentation and coordination skills.
  • Provide a high standard of support to the Retail
  • Liaise effectively with other departments on behalf of the team to convey and/or source required information
  • Knowledge in tenancy and facilities management with shopping mall experience is advantageous

QUALIFICATIONS

Experience

  • Minimum 2-3 years’ experience in coordinating project and retail environment
  • Experience in reviewing legal documentation will be a plus

Education

  • Degree Holder or related discipline. Other candidates with relevant experience will be considered

Skills / Competencies

  • Good command of Cantonese, Mandarin and English
  • Strong proficiency in using Excel, PowerPoint, Word and other MS Office apps.
  • Always dress and talk in a professional manner
  • Maintain a very high standard of personal presentation at all times
  • Strong team player
  • Organized and efficient
