A SNAPSHOT OF YOUR ROLE
As an Inventory Reconciliations Officer, you will play a vital role in keeping our eCommerce operations running smoothly by connecting finance, customer service, and supply chain activities. You will help maintain accurate accounts receivable records, reconcile transactions across multiple platforms, and ensure orders are aligned across systems to minimise delays and resolve issues quickly.
This is a highly collaborative role where you will work closely with marketing, warehousing, IT, and finance teams while also serving as a trusted point of contact for customer and payment-related enquiries. If you enjoy solving problems, improving processes, and using data to drive better outcomes, this is an exciting opportunity to make a real impact.
YOUR DAILY RESPONSIBILITIES
- Reconcile transactions and account balances across eCommerce platforms, banking records, and internal finance systems to maintain accurate ledgers
- Review and investigate order discrepancies between eCommerce channels, warehouse systems, and finance records to support timely resolution
- Manage customer payment, refund, chargeback, and dispute enquiries with professionalism and a strong service mindset
- Act as a key point of contact for shared inboxes and customer queries, delivering clear communication and prompt follow-up
- Support accounts receivable activities including debtor setup, statement distribution, credit note processing, and month-end tasks
- Partner with marketing, warehouse, finance, and tech support teams to escalate issues and keep order and payment workflows on track
- Assist with claims, credits, cashflow-related support, and ad hoc reporting required by the wider business
- Identify recurring issues and contribute to process improvements that enhance efficiency, accuracy, and customer experience
A BIT ABOUT YOU
- You have experience in accounts receivable, reconciliations, customer service, or a similar finance or operations role
- You are confident reconciling transactions across multiple systems and can investigate discrepancies with strong attention to detail
- You bring excellent communication skills and can build trusted relationships with customers and cross-functional stakeholders
- You are comfortable working with eCommerce platforms, payment gateways, and finance systems in a fast-paced environment
- You have strong analytical and problem-solving skills, with the ability to prioritise tasks and manage competing deadlines
- You are proactive and solutions-focused, with a continuous improvement mindset and a willingness to suggest better ways of working
- You can handle sensitive financial and customer information with professionalism, accuracy, and discretion
- Experience supporting chargebacks, disputes, refunds, and reporting activities will be highly regarded
