About The Role

Major Responsibilities: A. OPERATIONS 1. Accounts for the custody of Accountable Forms (AF) by maintaining logsheets. Ensure that all accountable forms are accounted for and tallies with the outstanding balance per GL of Accountable Forms as required under existing Bank's policy. 2. Checks the accuracy of the cash by conducting: a) daily bundle-count b) surprise detailed cash count of CIV, ATM, Tellers' PICOs and Petty Cash Fund as required under existing policy c) validation of reconciliation report (e.g. Cash in Vault Record, ATM reconciliation, etc) against source documents and system-generated reports Performed 5% of time daily / 10% of the time as necessary 3. Jointly responsible with the Branch Cashier for the proper custody of the cash vault and ATM by ensuring that: a) d ual control is always observed b) vault and security hatch are always closed upon arriving and before leaving the bank premises c) combinations are changed when necessary. Performed 5% of time daily 4. Makes sure that ATM cards and PIN/Password envelopes are under proper custody / safekeeping and issuance thereof to clients strictly adhere to existing internal control policies and procedures. Performed 5% of the time daily Oversees the overall flow of branch transactions by: a) Supervising the processing of inward and outward clearing as well as inter-office transactions, including attending to clearing / inter-office queries / problems. b) Supervising the FCDU section of the branch by ensuring the correct processing of FCDU transactions, completeness of tickets and other supporting documents, accuracy of rates, conversion and other charges and collection of appropriate charges and fees. c) Supervising the Investment Section of the branch by ensuring that term placements are correctly processed, properly supported with evidence of deposit / placement/ updated SL and other supporting documents and given the prescribed interest rates / income. d) Contributing and participating in the Branch Credit Committee’s evaluation and recommendation of loan applications to the proper approving body. e) Checking the security reports / print-outs against source documents and monitoring of proper and timely observance of standard callback policies and procedures thereby ensuring the existence of deposits / placements, accuracy of interest rates/ charges/ computations, completeness of documents, validity of transactions and absence of unaccounted / open / long outstanding discrepancies and float items. f) Making sure that proper account titles are used and that only duly authorized and approved transactions properly supported with tickets and official receipts / statements / correct reports are posted in the computer system, paid and/ or remitted on time. g) Ascertaining that updated, balanced and correct SL / schedules / books are maintained h) Ensuring that unauthorized access of each employee's terminal system is avoided by making sure that passwords are kept confidential, users log-off from the terminal system when not in use and unused Computer IDs are deleted. i) Managing the preparation of internal and external reportorial requirements / remittances by ensuring that accurate reports and related remittances are submitted / remitted on time. Performed 50% of the time daily / 20% of the time as necessary b. ADHERENCE TO POLICIES AND PROCEDURES 6. Maintains set of working papers for the review of various branch procedures lists down the exceptions noted, monitors subsequent disposition taken to resolve exceptions and reports the unresolved exceptions through the Exception Report and prepares “Red Flag” report, as needed, for exceptions that need immediate attention and action by Senior Management. Performed 15% of time daily. As Compliance Coordinator, assists the Compliance Officer in the implementation of the compliance laws, regulations, rules, standard and other regulatory requirements by reviewing, assessing, performing test of the respective unit and timely reporting of covered and suspicious transactions. Performed 15% of time daily. As Risk Coordinator, identifies the risk areas of the branch and offers decision on how to manage/resolve the risk . C. ADMINISTRATIVE FUNCTIONS Makes sure that there is adequate of supply of accountable / printed forms, stationery and other supplies. Takes care of the proper upkeep of branch premises and maintenance of FFE by conducting physical inventory as required under existing Bank's policy, reviewing and reconciling FFE subsidiary ledgers/schedules with the GL balance to avoid missing bank furniture/equipment and unreconciled FFE balances against GL. Responsible for timely payment of branch utility bills, taxes, licenses and other expenses ensuring the continued availability of electricity, water, supplies and renewed business permit / license Directs the work of subordinate staff and make recommendation to management actions such as hiring, transfers, suspensions, lay-off, assigning or disciplining employees when the need arises Makes sure that communication / correspondence are promptly acted upon. Suggests / Implements improvement of current branch practices as long as these are consistent with existing bank's policies Safety Officer and Pollution Control Officer (as required by Dole & DENR) D. PERFORMS OTHER RELATED DUTIES AS MAY BE DESIGNATED AND ASSIGNED FROM TIME TO TIM
