About The Role

PURPOSE OF THE JOB

The IKEA Home Design Project Coordinator plays a key role in ensuring the smooth execution of home design projects by coordinating end-to-end order fulfilment, project timelines, and stakeholder collaboration. The role ensures a seamless customer experience through effective coordination of sales orders, design documentation, installations, and after-sales support.

This position provides operational and project coordination support to the sales team, enabling them to focus on business development and client engagement. The Project Coordinator serves as a key driver of project execution, ensuring seamless coordination of processes, systems, timelines, and stakeholder follow-ups to deliver projects accurately, efficiently, and in line with IKEA’s service standards.

RESPONSIBILITIES OF THE JOB

  • Coordinate end-to-end administration of home design projects, including sales orders, drawings, floor plans, design plans, and related documentation to ensure accuracy, completeness and timely execution;
  • Coordinate with sales, logistics, installation teams, customer service, suppliers, and third-party partners to ensure alignment and timely project delivery;
  • Serve as the primary point of contact for clients, providing project updates, managing expectations, and ensuring a positive customer experience;
  • Monitor project timelines and follow through on deliverables, ensuring smooth execution and timely resolution of after-sales matters;
  • Ensure accurate maintenance of project data, order progress, and client documentation across systems to support efficient project delivery;
  • Respond to client enquiries through phone, email, and online channels, providing professional and customer-focused support;
  • Investigate and coordinate resolution of order discrepancies, fulfilment issues, and service recovery cases;
  • Ensure all sales transactions and processes comply with IKEA policies, procedures, and financial controls;
  • Generate and track sales/project reports, order status, fulfilment performance, and issue trends to support operational improvements;
  • Contribute to continuous improvement by identifying process gaps and supporting workflow enhancement initiatives.

Qualifications

Knowledge

  • Experience in interior design, renovations or retail operations environments is preferred;
  • Experience in project coordination, sales administration, order fulfilment, or customer service within a fast-paced operational environment;
  • Knowledge of project coordination and project lifecycle management, including initiation, planning, execution, monitoring, and closure;
  • Understanding of stakeholder management and cross-functional collaboration, with the ability to coordinate across multiple departments and business functions;
  • Familiarity with IKEA range & services and inventory systems, order management platforms, and sales or operational tracking tools.
  • Knowledge in data analysis, reporting, and performance tracking, with the ability to interpret operational data to support project decisions and reporting.
  • Understanding of customer journey, customer experience principles, and after-sales processes to support end-to-end service delivery;
  • Strong organisational skills with high attention to detail and accuracy; 
  • Effective communication and coordination skills with internal and external stakeholders; 
  • Customer-oriented with a service-minded attitude; 
  • Reliable and structured, with the ability to prioritise workload under pressure with smooth execution in day to day work; 
  • Team player with a supportive mindset and willingness to help others; 
  • Good problem-solving ability in operational or process-related challenges;
  • Adaptable and flexible to changing priorities or processes; 
  • Self-motivated, disciplined, and able to work independently with minimal supervision; 
  • Strong numerical and documentation handling skills.
