Job Role: Commercial Operations & Customer Success Coordinator

  • Compensation range: $3,000 AUD / Monthly
  • Engagement type: Independent Contractor Agreement
  • Work Schedule: This role is designed to support the North American commercial business, so the candidate must be able to work meaningful overlap with U.S. Mountain Time.

The role is currently structured as min. 32 hours per week. Our preferred core schedule is

Monday to Thursday

6:00 AM to 12:00 noon Mountain Time / 8:00 PM to 2:00 AM Manila time during Utah summer / MDT | 9:00 PM to 3:00 AM Manila time during Utah winter / MST

Role Overview: The purpose of this role is to create a smarter North American commercial execution layer.

The person will support the Senior Vice President North America by improving how commercial information, agent requests, B2B customer needs, trade marketing projects, digital partner actions, CRM data, AI-enabled workflows, and customer-success opportunities are organized and executed.

This role is not a traditional admin assistant or virtual assistant. It requires someone with commercial curiosity, systems thinking, initiative, confidence with customers, and a strong interest in using AI and automation to improve workflows.

The right candidate will not only react to tasks. They will proactively identify gaps, suggest improvements, organize projects, follow up with agents and retailers, and help turn commercial activity into structured action.

Key Responsibilities

Strategic Context & Objective

Our North American business is shifting from pure account acquisition to operational excellence and deep-rooted commercial maturity. This role is the linchpin of that transition. Your objective is to convert scattered commercial activity into structured, repeatable action. By driving better systems, relentless follow-up, stronger dealer support, improved agent productivity, and proactive customer management, you will directly impact sales performance and the overall B2B customer experience.

Core Responsibilities

Front-Line Dealer & Agent Support

  • Serve as the primary internal contact for independent sales agents, selected B2B retailers, and digital partners.
  • Proactively manage seasonal dealer outreach and support to ensure seamless product ordering and execution cycles.
  • Own customer-service issues that directly impact commercial relationships, driving them to swift resolution.
  • Act as the cross-functional coordinator bridging the gaps between Sales, Marketing, Operations, and Digital teams.

CRM Ownership & Systems Management

  • Maintain total ownership of Monday CRM and related commercial systems, ensuring flawless data hygiene.
  • Manage account records, agent requests, seasonal task tracking, retailer follow-ups, and project boards.
  • Oversee digital partner tasks, asset delivery workflows, and dashboard inputs.
  • Track B2B issues systematically to ensure no balls are dropped and patterns are flagged for operational improvement.
  1. AI Adoption & Workflow Automation - We are not looking for someone with a vague, casual interest in AI. You must be highly confident utilizing AI tools to organize, summarize, track, and execute daily work.
  • Practical Execution: Use AI to summarize agent/customer notes, turn meetings into actionable task lists, organize customer follow-ups, and prepare first-draft outreach.
  • System Optimization: Leverage AI for CRM data cleanup, classifying trade marketing assets, and building process documentation.
  • Business Intelligence: Assist in building, managing, and continually improving AI-led business intelligence systems and automated reporting discipline.
  1. Trade Marketing Execution
  • Coordinate and organize trade marketing assets, ensuring independent reps and retailers have what they need.
  • Track marketing campaigns, manage asset delivery checklists, and collect in-store display photos from the field.
  • Conduct execution reviews and provide basic reporting on marketing campaign completion rates.
  1. Digital Partner Administration
  • Coordinate onboarding requirements for new digital partners and retail platforms.
  • Ensure the accurate and timely delivery of product information (PIM), images, and digital assets.
  • Monitor online content accuracy, coordinate promotional calendars, and execute compliance checks.
  • Manage the internal handoff of digital partner requirements between Sales, Marketing, and Ecommerce.
  1. Selected DTC Customer-Value Support
  • Support selected initiatives aimed at improving the direct-to-consumer (DTC) customer experience, retention, and issue resolution.
  • Focus execution efforts primarily on maximizing value and resolving frictions outside the Top 100 customer segment.

  • Familiarity with AI tools such as ChatGPT, Gemini, NotebookLM, or similar
  • Comfort learning automation tools and workflow platforms
