About The Role
About the Role As a Junior Documentation Officer, you will be responsible for the preparation of the Letter of Approval Advice, checklist of documentary requirements, and standard loan documents for approved credit facilities as well as the review of documents submitted against documents required to ensure completeness, accuracy, and compliance to credit policies /regulatory requirements. How you’ll contribute Attends to documentation requirements of approved credit accommodations for client’s compliance. Reviews and ensures completeness, accuracy, and legal sufficiency of loan/collateral documents. Recommends CIA issuance for approved line establishments or renewals, interim extensions, and case-to-case transactions/accommodations for proper implementation. Prepares Letter Approval Advice and standard documentation based on the approved Credit Proposal (CP) / availment sheet. Transmits the original copies of the loan and collateral documents to Central Records Section (CRS) for safekeeping. Scans and uploads credit and collateral documents in EDMS. Safekeeps vital documents in the vault for accounts pending notarization, mortgage registration, and/or CIAIA issuance Builds a lending structure for borrowing accounts in AS400 (EQ-CRM) and/or GUAVA and encode limits for the credit facilities which have been issued CIA Conducts physical inventory of credit and collateral documents safe kept in Central Records Section (CRS)S) periodically or as needed Creates and maintains complete and updated credit folders for each account for easy reference and audit purposes. Monitors prompt response of the Business Units on the review and disposition of Letter Approval Advice Reviews existing processes and recommends amendments/enhancements for continuous process improvement. Evaluates and endorse received approvals and documents to Senior Document Specialist for final review/approval of the transaction. Arranges and prepare documents for registration and notarization and/or DST affixal of lease/loan/collateral documents using our designed guidelines/manual of procedure (MOP) and applicable Bank policies to protect the right of the bank in case of foreclosure. Prepares various reports as required by Management (i.e., Exception Report, Transaction Volume Report, and other applicable reports) using the designed format to present the bank's risk exposure in terms of document deficiencies/deviations and to report the volume of transactions as well. What we’re looking for Bachelor's / College Degree in Business Studies /Administration /Management, Commerce, Finance/Accountancy/Banking/Legal Management With at least 3-4 years of experience Microsoft Office applications. Experience in credit documentation is an advantage. Analytical and detail-oriented. Good interpersonal skills. Good oral and written communication skills.
