Property Management Accountant

About The Role

We are seeking a detail-oriented and dependable Accounting Virtual Assistant to support day-to-day bookkeeping and administrative accounting tasks for a property management operation. This role requires high accuracy, strong follow-through, and the ability to manage time-sensitive responsibilities related to HOA registrations, invoices, reconciliations, and compliance reporting.

The ideal candidate has experience in real estate/property management accounting, is comfortable working inside AppFolio and QuickBooks, and can communicate professionally with internal teams and external HOA contacts.

Key Responsibilities

HOA & Resident Registration

  • Register newly acquired properties with the HOA by completing and submitting HOA-specific forms
  • Register new residents with the HOA by completing and submitting HOA-specific forms
  • Support HOA-related documentation and tracking

Accounts Payable & Invoice Management

  • Review and enter bills and invoices into AppFolio accurately and on time
  • Resolve bills and invoices placed on hold in a timely manner
  • Process HOA statements and reconcile balance discrepancies
  • Ensure proper documentation and clean recordkeeping for all transactions

Compliance & Reporting

  • Run ADRE compliance reports and upload documentation into Google Docs
  • File and pay Transaction Privilege Tax (TPT) as required
  • Maintain organized files for compliance-related reporting and audits

Utilities & Administrative Accounting Support

  • Coordinate turning utilities on/off for properties as needed
  • Code accounting entries in QuickBooks
  • Support additional accounting and administrative projects as assigned

Qualifications

Required

  • Strong understanding of bookkeeping and accounting fundamentals
  • High accuracy in data entry and financial recordkeeping
  • Excellent written and verbal English communication skills
  • Ability to maintain confidentiality and follow secure procedures
  • Reliable, organized, and able to manage multiple deadlines

Preferred

  • Experience in Real Estate / Property Management accounting
  • Experience using QuickBooks
  • Experience using AppFolio (highly preferred)
  • Familiarity with HOA processes, compliance reporting, and property operations
