About The Role

Job Summary

The Executive Assistant to the Director provides high-level administrative and operational support to the Director by managing schedules, coordinating meetings, handling confidential information, and ensuring smooth day-to-day business operations. The role requires strong organizational skills, professionalism, discretion, and the ability to work in a fast-paced environment. Candidates with experience supporting foreign executives or expatriates are highly preferred.

Duties and Responsibilities

Administrative Support

  • Manage and maintain the Director’s calendar, appointments, meetings, and travel arrangements.
  • Screen calls, emails, and correspondence, and prioritize important matters for the Director.
  • Prepare reports, presentations, meeting minutes, and other business documents.
  • Organize and maintain confidential files, records, and documents.

Coordination and Communication

  • Coordinate with internal departments and external stakeholders on behalf of the Director.
  • Handle meeting arrangements, including scheduling, venue preparation, and follow-ups.
  • Assist in communication with local and foreign partners, clients, and executives.
  • Ensure timely submission of reports, requirements, and business documents.

Operational Assistance

  • Monitor tasks, deadlines, and action items assigned by the Director.
  • Support daily operational and administrative requirements of the office.
  • Assist in organizing company events, business meetings, and executive activities.
  • Perform other tasks that may be assigned by the Director from time to time.

Qualifications

  • Bachelor’s Degree in Business Administration, Management, Office Administration, or any related course.
  • At least 2–3 years of proven work experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
  • Experience in handling foreign executives, expatriates, or multinational clients is an advantage.
  • Excellent verbal and written communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • Proficient in Microsoft Office Applications (Word, Excel, PowerPoint, Outlook) and online communication platforms.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong interpersonal skills and ability to work under pressure.
  • Willing to work onsite and render extended hours when necessary.

Pay: Php35,000.00 - Php45,000.00 per month
