About The Role
The Executive Assistant to the Chancellor provides high-level administrative and organizational support to the Chancellor’s Office. The role ensures efficient daily operations, smooth communication, professional coordination, and proper handling of confidential information.
- Executive Administrative Support:
- Manage the Chancellor’s calendar, appointments, and meeting schedules.
- Prepare official correspondence, reports, memoranda, and documentation.
- Screen and prioritize phone calls, emails, and requests directed to the Chancellor.
- Prepare presentations, briefing materials, and meeting packages.
- Office and Meeting Coordination:
- Organize and coordinate internal and external meetings, visits, and events.
- Prepare meeting agendas, record minutes, and follow up on action items.
- Ensure all meeting materials and logistics are well-prepared in advance.
- Communication and Liaison:
- Serve as the main point of contact between the Chancellor’s Office and other departments.
- Maintain professional communication with internal stakeholders and external partners.
- Convey instructions, decisions, and updates from the Chancellor to relevant parties.
- Operational and Logistical Support:
- Coordinate travel arrangements, bookings, and itineraries for the Chancellor.
- Track, follow up, and complete administrative tasks and required approvals.
- Maintain confidential and organized filing systems (electronic and physical).
- Confidentiality and Professionalism:
- Handle sensitive information with strict confidentiality and discretion.
- Maintain a high level of professionalism, diplomacy, and organizational awareness.
- Bachelor’s degree in Business Administration, Management, or a related field.
- 2–5 years of experience as an Executive Assistant or in a similar administrative role.
- Strong proficiency in Microsoft Office Suite.
- Excellent command of written and spoken English (Arabic is a plus).
- Experience in working in fast-paced or executive environments.
