The Recruitment Partner plays a critical role in managing the end-to-end recruitment pipeline, ensuring seamless execution of exam management, documentation, and onboarding conversion of new recruits.

This role is responsible for ensuring that all recruits are

  • Exam-ready and scheduled efficiently
  • Fully compliant with regulatory and business requirements
  • Successfully endorsed to licensing for coding

The role directly contributes to delivering a high-quality, compliant, and efficient recruitment journey, ensuring that distributors are fully prepared to commence their sales activities upon onboarding. 1. Exam Management Operations

  • Manage the end-to-end exam lifecycle , including scheduling, batching, and coordination
  • Monitor key exam metrics:
  • Registrants vs attendance
  • Completion and no-show rates
  • Passer conversion to next stage
  • Coordinate with TRMs, agency leaders, and exam providers for smooth execution
  • Ensure timely endorsement of exam passers to licensing and coding teams
  • Drive follow-ups to improve exam attendance and completion rates
  • Support execution of exam drives, campaigns, and conversion-focused initiatives
  1. Recruitment Operations Administration
  • Maintain accurate records, databases, and documentation across recruitment systems
  • Manage SRT processes , including document downloading, validation, and tracking
  • Ensure proper tagging, attribution, and hierarchy alignment of recruits
  • Prepare agency matrix and hierarchy documentation for onboarding
  • Handle exam document completion recalibration for incomplete or incorrect submissions
  • Support end-to-end endorsement of exam results to DMS and licensing systems
  1. Pipeline Management
  • Manage End-to-End Recruitment Pipeline Execution

Oversee the full recruitment journey from submission to onboarding (submission → exam → licensing → coding), ensuring seamless movement across all stages and timely progression of recruits.

  • Monitor and Drive Pipeline Conversion Performance

Track daily and weekly pipeline metrics (exam passers, pending licensing, coded recruits) and proactively address bottlenecks to accelerate conversion and improve time-to-code.

  • Lead Exam Management Operations and Throughput Optimization

Ensure efficient exam scheduling, batching, and coordination with providers while optimizing attendance, completion rates, and passer conversion to licensing.

  • Ensure Timely Endorsement to Licensing and Coding

Drive fast transition of exam passers to the next stage by enforcing completion of requirements and coordinating closely with Licensing and Conversion teams.

  • Establish and Maintain Pipeline Reporting and Visibility

Prepare and disseminate accurate pipeline dashboards and territory-level reports to TRMs and stakeholders to enable data-driven actions and accountability.

  • Act as Territory Point-of-Contact for Pipeline Management

Provide hands-on coordination with TRMs, leaders, and recruiters to follow through on pending applications, incomplete requirements, and pipeline gaps.

  • Drive Candidate Engagement and Follow-Through Activities

Implement structured follow-ups for exam registrants, no-shows, and passers to ensure continuous engagement and minimize drop-offs across the funnel.

  • Ensure Data Accuracy, Compliance, and Process Discipline

Validate documentation, maintain accurate records in SRT and trackers, and ensure all recruitment activities comply with regulatory and internal standards.

  • Enable Continuous Pipeline Improvement and Process Optimization

Identify inefficiencies across recruitment and exam processes and implement improvements to enhance throughput, turnaround time, and overall candidate experience.

  1. Data Management, Reporting & Analytics
  • Generate and maintain:
  • Daily and weekly recruitment reports
  • Exam performance dashboards
  • Pipeline conversion reports
  • Ensure data accuracy, integrity, and timeliness across all reports
  • Monitor conversion funnel gaps and highlight areas for follow-up
  • Support leadership requirements for TRM / NRH / Operations reporting
  1. Stakeholder Coordination & Communication
  • Act as coordination link between:
  • Recruitment Managers (TRMs)
  • Agency Leaders / SMTs
  • Exam Management Team
  • Licensing and Conversion Teams
  • Provide timely updates, reminders, and escalations
  • Conduct regular follow-ups and status alignments with stakeholders

Support recruitment campaigns and conversion initiatives at territory level

  1. Compliance, Quality & Governance
  • Ensure adherence to:
  • Regulatory licensing requirements
  • Internal recruitment policies and processes
  • Maintain:
  • 100% accuracy on documentation and submissions
  • Strict SLA / TAT compliance
  • Zero-error tolerance on data and processing
  • Support audit requirements and continuous process improvements

Job Requirements

  • Bachelor’s degree in Business Administration, Management, HR, or related fields
  • Fresh graduate or with experience in office administration / recruitment operations
