Are you passionate about Christ-centered ministry, hospitality, and creating unforgettable, transformative experiences for others? Flathead Lutheran Bible Camp (FLBC) is seeking a dedicated, energetic Retreat and Event Director to lead our year-round retreat and conference ministry on the shores of beautiful Flathead Lake. This is a full-time position and reports directly to the Executive Director
Position
The Retreat & Events Director provides leadership for Flathead Lutheran Bible Camp's year-round retreat ministry by ensuring every guest experiences exceptional Christian hospitality in a safe, organized, and welcoming environment. This position serves as the primary liaison for retreat groups from their initial inquiry through departure and follow-up, coordinating every aspect of the retreat experience while fostering meaningful relationships and creating opportunities for guests to experience Christ's grace.
The Retreat & Events Director works collaboratively with the entire FLBC staff to ensure that every retreat reflects the camp's mission: "To experience Christ's grace through meaningful relationships, shared adventures, and purposeful service."
Guest Experience & Christian Hospitality
- Serve as the primary host for all retreat groups from pre-arrival planning through post-retreat follow-up.
- Build positive, caring relationships with pastors, retreat leaders, volunteers, and guests.
- Communicate with group leaders by phone, email, and in person regarding schedules, lodging, meals, programming needs, and special accommodations.
- Welcome, register, orient, and assist retreat guests with warmth, professionalism, and genuine hospitality.
- Maintain regular communication with group leaders throughout their stay to ensure questions and concerns are addressed promptly.
- Resolve guest concerns with grace and flexibility.
- Seek opportunities to exceed guest expectations and create memorable retreat experiences.
Retreat Planning & Event Coordination
- Review retreat contracts, schedules, group histories, and special requests upon confirmation.
- Coordinate all retreat logistics from arrival through departure.
- Assign lodging, meeting spaces, and activity locations based on group size, accessibility, and overall camp scheduling.
- Develop detailed retreat schedules and communicate plans to all departments.

- Maintenance
- Program Staff
- Ensure all retreat activities comply with FLBC policies, risk management procedures, and safety standards.
- Assist retreat leaders in developing meaningful programming as requested.
Program Leadership
When requested, assist with retreat programming by providing or coordinating with other staff

- Campfire programs
- Bible studies
- Team-building activities
- Recreation
- Nature hikes
- Games
- Evening programs
- Other camp experiences that enhance the retreat.
Facilities & Retreat Readiness
- Ensure guest rooms, cabins, meeting spaces, bathrooms, and common areas are clean, safe, stocked, and ready before guest arrival.
- Confirm meeting rooms are arranged according to group requests.
- Coordinate beverage stations, audiovisual equipment, supplies, signage, and room setup.
- Conduct regular inspections during retreats to maintain quality standards.
- Work alongside staff to address guest needs promptly.
- Help coordinate meal logistics including dining room setup, hospitality stations, table arrangements, announcements, and cleanup support.
Team Participation
- Participate as an active member of the year-round ministry team.
- Attend staff meetings and planning retreats.
- Assist with summer camp operations when needed.
- Support major camp events, fundraising activities, and volunteer work weekends.
- Demonstrate flexibility by assisting with other responsibilities that contribute to the mission of FLBC.
Qualifications
Preferred qualifications include
- A growing Christian faith and commitment to the mission and ministry of Flathead Lutheran Bible Camp.
- Strong interpersonal and hospitality skills.
- Excellent organizational and administrative abilities.
- Ability to manage multiple projects simultaneously.
- Experience coordinating retreats, conferences, camps, or hospitality operations preferred.
- Strong written and verbal communication skills.
- Ability to work independently while functioning effectively within a collaborative team.
- Computer proficiency including Microsoft Office and online scheduling systems.
- Valid driver's license with an acceptable driving record.
- Ability to lift up to 25 pounds and work both indoors and outdoors in varying weather conditions.
- Ability to work evenings, weekends, and holidays as retreat schedules require.
Work Schedule
Because retreat ministry primarily occurs outside of traditional business hours, this position requires a flexible schedule.
- Weekend work is expected and constitutes the majority of guest-facing responsibilities.
- Some weekday office hours will be used for retreat planning, communication, scheduling, marketing, and administrative work.
- Some evening work will be required.
- Primary work location is Flathead Lutheran Bible Camp in Lakeside, Montana.
Compensation
- Salaried position.
- Compensation is commensurate with experience and qualifications.
- Housing may be available as part of the compensation package.
- Benefits are provided according to FLBC personnel policies.
